Job Summary:

The Recruiting Administrator will play a crucial role in the recruitment process by managing the administrative aspects of hiring. This includes scheduling interviews, drafting offer letters, conducting background checks, and ensuring a seamless candidate experience from application to onboarding.


Interview Scheduling:

  • Coordinate and schedule interviews between candidates and hiring managers.
  • Manage and update the interview calendar.

Offer Letters and Documentation:

  • Draft and send offer letters to selected candidates.
  • Ensure all offer documentation is complete and accurate.
  • Assist with the preparation and collection of new hire paperwork.

Background Checks:

  • Initiate and monitor background checks for the new hires.
  • Communicate with background check vendors and follow up on pending checks.
  • Ensure all background checks are completed promptly.

Candidate Communication:

  • Serve as a point of contact for candidates throughout the recruitment process.
  • Provide timely updates and respond to candidate inquiries.

Data Management and Reporting:

  • Maintain accurate and up-to-date records in the applicant tracking system (ATS).
  • Generate and analyze recruitment reports as needed.

General Administrative Support:

  • Provide administrative support to the recruitment team as needed.


  • Bachelor’s degree in Business Administration or a related field preferred.
  • Proven experience in a similar administrative or recruiting role.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with ATS software.

Further details:

  • Hybrid position working with US teams based in Kosova, Albania and Macedonia
  • Schedule: Monday-Friday, 3 pm -11 pm CEST (Skopje, Prishtina, Tirana local time)
  • Indefinite contract
