Job Vacancy – Project Coordinator & Researcher

Title: PROJECT COORDINATOR & RESEARCHER

Status: Full-time

Location: Prishtina, Kosovo

Reporting to: Executive Director

POSITION SUMMARY:

The Project Coordinator & Researcher will plan, oversee, and manage BPRG projects and their activities, ensuring timely implementation and effective coordination. He/She will work closely with the Executive Director and other key programmatic members of the team to ensure smooth and successful delivery of project objectives.

RESPONSIBILITIES:

Project Development and Coordination

  • Ensure timely and duly coordination of the projects and implementation of all project activities in accordance with the project implementation plan(s), BPRG objectives, and donor requirements.
  • Support and contribute to the organizational, programmatic, and project development.
  • Develop project proposals, including objectives, activities, timelines and deliverables.
  • Supervise and ensure implementation of the tasks and activities, ensuring alignment with project goals and donor expectations.
  • Prepare advanced reporting documents for donors, while operating strictly under BPRG’s and the donor’s guidelines.
  • Develop and integrate advanced tools for monitoring and evaluation processes.
  • Conduct monitoring and evaluation activities to ensure planned outcomes, including tracking key performance indicators and identifying areas for improvement.
  • Understand the policy aspects of the project.
  • Maintain formal and professional communication with donors, partners, and other stakeholders.
  • Monitor project budget funds to ensure proper financial planning and liaise with Financial Officer and Executive Director on budgetary changes if required.
  • Ensure maintenance of proper electronic and paper filing systems for project documentation, ensuring accessibility and compliance with donor requirements.
  • Prepare and submit timely project reports as required.
  • Organise and facilitate meetings and other project-related events for the implementation of the project.
  • Propose and develop new project initiatives within the scope and strategy of BPRG, and integrate relevant insights into project planning and implementation.
  • Support the Executive Director and other Balkans Group staff in obtaining donor support and assist with other organisational matters.
  • Ensure compliance with all organisation’s internal policies.

Research

  • Stay updated and knowledgeable on policy trends, legislative developments, and strategic issues relevant to BPRG’s focus areas.
  • Draft policy-related documents such as briefs, reports, and concept notes aligned with ongoing projects and BRG’s programmatic areas.
  • Support the project team with research-based insights to guide program design and implementation.
  • Contribute to policy dialogues by preparing background materials for events, roundtables, and stakeholder engagements.
  • Conduct background research to provide evidence-based insights that support policy discussions and advocacy efforts.
  • Identify and map key stakeholders, policies, and initiatives relevant to BPRG’s work.
  • Develop recommendations and strategic insights for programmatic activities.

REQUIREMENTS:

  • Strong managerial capabilities and a demonstrated record of successful management of multi-disciplinary tasks.
  • Experience in project development, writing project proposals, project evaluation/reporting, and ensuring the effective and flexible coordination and implementation of the projects.
  • Experience in managing donor-funded projects, ensuring compliance with donor regulations and reporting requirements.
  • Experience in engaging with donors, government institutions, CSOs, and other key stakeholders.
  • Exceptional leadership skills, including the ability to manage teams, delegate responsibilities effectively, and foster a collaborative working environment.
  • Proficiency in project management tools to ensure project sustainability and accountability.
  • High attention to detail and ability to multitask effectively while maintaining quality and efficiency;
  • Excellent analytical and writing skills, with the ability to formulate well-targeted project ideas and activities;
  • Adequate knowledge and understanding of policy developments and dynamics in Kosovo and in the Western Balkans, particularly in public policy, good governance, law, regional cooperation, peace and security, and other thematic and development areas.
  • A strong capacity for effective teamwork, a high degree of flexibility, and willingness to work long hours and under pressure of deadlines;
  • Excellent written and verbal communication;
  • Excellent spoken and written English and Albanian.
