About the Western Balkans Programme of People in Need:

People in Need started working in Balkan in the early 1990s to deliver humanitarian aid and has remained in the region since to support the region’s social and economic reconstruction and development. Since the late 2000s, PIN has been working with local organizations to promote social inclusion and good governance at the local level. About the role:

Under overall supervision of the Head of Office, the Program Assistant is responsible for ensuring daily administrative and coordination support and tasks for PIN office in Kosovo. Under overall supervision of the Project Manager, the Assistant is responsible for supporting implementation of the Project.

Duties and Responsibilities:

  • Assisting and supporting Head of Office on daily basis
  • Update and maintain Head of office’s calendars and agenda to resolve scheduling conflicts
  • Provide the front office and administrative staff with support (e.g. emailing and data entry)
  • Ensure business operations and efforts are always favorable to the organization objectives
  • Maintain a tracking system of responses to proposals
  • Coordinate internal department meetings and record meetings
  • Prepare meeting rooms and equipment or technology for meeting
  • Maintaining PIN Kosovo social media networks (such as Facebook, Instagram, Twitter, etc.)
  • Support implementation of the project
  • Perform additional tasks as may be required by the line manager

Requirements

Suitable candidates for this position should possess:

  • Minimum 1 years of relevant experience at a similar level of responsibilities
  • University degree desirable
  • Experience of working within a humanitarian and/or development organization (NGO)
  • Excellent communication skills, including fluent spoken and written English and Albanian
  • Strong coordination, organizational and problem-solving skills
  • Proficient with computer technology and Microsoft office applications
