We are seeking a detail-oriented and organized Procurement Assistant to join our team. The Procurement Assistant will be responsible for supporting the procurement team in various tasks, including vendor communication, purchase order processing, and maintaining accurate records. The ideal candidate should have strong administrative and communication skills, as well as a basic understanding of procurement processes.
Location: Prishtine, Gracanice, Lipjan.
Type: Regular Full-Time
Responsibilities:
- Ensuring accurate and timely procurement data entry into relevant systems.
- Updating procurement trackers and maintaining precise records of activities, including purchase orders, invoices, and deliveries.
- Providing support in various procurement tasks.
- Coordinating purchase orders, verifying specifications, quantities, and delivery schedules.
- Maintaining vendor records, evaluating performance, and handling basic supplier communications.
- Preparing and maintaining procurement documentation, including RFQs, RFPs, and contracts.
- Assisting with requisitioning support, purchase order coordination, order tracking, delivery coordination, and invoice processing.
- Adhering to procurement policies, procedures, and regulations while ensuring accurate and up-to-date records.
- Collaborating with other departments to gather procurement requirements, obtain approvals, and communicate updates.
- Identifying process improvement opportunities, suggesting best practices, and enhancing overall procurement efficiency.
Qualifications:
- Bachelor’s degree in Economic, or a related field.
- Minimum 2 years of experience, preferably in a public sector or international organization setting.
- Strong communication and collaboration skills.
- Excellent communication and negotiation abilities.
- Proficient in Microsoft Office Suite.
- Familiarity with procurement processes and best practices.
- Ability to work efficiently under tight deadlines and manage multiple projects simultaneously.
- Ability to speak English language at high level.
