Job Overview:
The Legal Assistant plays a vital role in supporting the senior Legal Assistant and the broader legal team in managing essential aspects of legal processes, with a focus on property management and litigation tasks. This position requires a detail-oriented individual with strong organizational and analytical skills who can assist in drafting, reviewing, and editing legal documents, including contracts, pleadings, and correspondence. The Legal Assistant is also responsible for managing case files, maintaining accurate records, and ensuring that documentation is complete and up-to-date.
In addition to these core responsibilities, the Legal Assistant collaborates with other team members to ensure compliance with property management laws and regulations, aiding in the preparation for court cases or hearings. They may also conduct legal research to support case strategies and provide administrative assistance, such as scheduling meetings, managing deadlines, and communicating with clients or external parties. Their contribution is integral to the seamless functioning of legal operations and the successful handling of property-related legal matters.
Key Responsibilities:
- Draft and prepare legal documents including Statements of Claim (S/C) and Statements of Defense (S/D).
- Record and track incoming statements, applications, and complaints in the system.
- Ensure proper communication of updates to relevant parties, and manage follow-up tasks and reminders.
- Schedule calls and appointments, respond to emails, and handle legal correspondence.
- Ensure compliance with relevant property management acts and regulations under supervision.
- Assist in reviewing and revising agreements with attention to detail, collaborating closely with the senior Legal Assistant.
- Serve as a point of contact for legal inquiries, collaborating with attorneys, paralegals, and clients to ensure all cases are properly managed.
- Maintain thorough knowledge of contracts and legal documents, ensuring accuracy and adherence to standards.
- Communicate effectively and professionally with clients, attorneys, and peers.
- Assist with additional tasks as required, contributing directly to the smooth functioning of the legal department’s workflow, including general administrative duties, file management, and other related activities.
Qualifications:
- Proficient in legal terminology, document drafting, and case management systems.
- Familiarity with property management laws and relevant regulations.
- Strong attention to detail, especially in reviewing legal agreements and documents.
- Effective communication skills with a focus on professionalism and timeliness.
- Ability to prioritize tasks and manage time efficiently in a fast-paced environment.
- Knowledge of contract law and legal procedures.
