We are a fast-growing law firm with offices in Switzerland and Germany, seeking a diligent Administrative Finance Specialist. In this role, you will primarily focus on administrative tasks such as managing invoicing and time reports. As you grow into the position, there will be opportunities to take on additional responsibilities in financial data analytics, performance analysis and financial reporting.
  • Time Reports:
You will be responsible for validating time entries made by our lawyers, as we charge clients primarily on an hourly basis. These validated entries are then exported to prepare time reports for monthly invoicing.
  • Invoicing:
Based on the validated time reports, you will create and send invoices to clients. In addition to hourly billing, you will manage invoicing for subscriptions and hourly packages, involving multiple currencies and two invoicing systems (Switzerland and Germany).
  • Reconciliation:
You will match payments received in our bank accounts with the invoices issued, ensuring accurate financial records.
  • Debt Collection:
For overdue invoices, you will be responsible for sending reminders and contacting clients directly to ensure timely payment.
  • Financial Data Collection and Validation (Growth Opportunity):
Ongoing administrative tasks related to invoice management will be central to your role, ensuring smooth financial operations. As you gain experience in the role, you will have the opportunity to assist with financial performance analysis using Google Sheets and Looker Studio. Initially, you will help collect and validate data (such as time entries and invoices) and ensure data accuracy. Over time, you can take on more responsibilities in creating financial reports and projections, as well as general data analytics.
  • Additional Administrative Support:
You may also assist with tasks such as expense reporting, credit card report reviews, and validating incoming invoices as part of your daily responsibilities.
Requirements:
  • Bachelor’s degree in business administration, economics, or a related field
  • Previous experience working with taxes
  • Strong affinity for numbers and interest in data analytics
  • 2+ years of experience in invoicing and administrative tasks
  • Fluent in English; strong knowledge of German is required; French is a plus
  • Proficiency with Excel or Google Sheets
  • Experience with Google Looker Studio or similar data visualization tools is a plus
  • Detail-oriented and diligent work style

  • Salary Range: 800-1000 EUR net, based on experience and skills
