Duration: Full-time (On-site)

Location: District of Pristina, Kosovo

Work Schedule: 15:00 to 23:00 Kosovo time (open to working overtime when required)

Job Overview: As an Executive Assistant to the President, you will play a pivotal role in providing comprehensive support to the President, ensuring seamless management of their professional commitments and personal affairs. Your responsibilities will encompass a wide range of tasks, including scheduling, travel coordination, communication management, leisure and entertainment organization, document and administrative management, and ad hoc tasks as required.

Responsibilities:

  • Comprehensive Scheduling: Oversee and manage the President’s full schedule, ensuring an
  • efficient balance between professional commitments, personal appointments, and downtime.Adapt schedules promptly to accommodate last-minute changes.
  • Global Travel Coordination: Arrange all aspects of international and domestic travel across Europe, Canada, and the US, including but not limited to, booking flights, hotels, and local transportation. Ensure travel plans are in line with personal preferences and professional requirements, providing a detailed itinerary for each trip.
  • Communication Management: Act as the primary gatekeeper for the President, managing and prioritizing all incoming and outgoing communications. This includes meticulously screening phone calls, emails, and texts, ensuring that only relevant information is passed on.
  • Leisure and Entertainment Organization: Plan and execute weekend trips and leisure activities, focusing on relaxation and entertainment. This includes booking venues, shows, or exclusive events that align with the President’s interests.
  • Document and Administrative Management: Handle sensitive documents with discretion, prepare reports, presentations, and correspondence. Ensure efficient filing and organization of both digital and physical documents.
  • Ad Hoc Tasks: Be prepared to take on varied tasks as they arise, showing flexibility and problemsolving skills.

Qualifications:

  • Bachelor’s degree in Business Administration, Project Management, or related field (Master’s degree preferred).
  • Solid experience as an Executive Assistant, preferably in a corporate or high-profile setting.
  • Outstanding organizational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Discretion with confidential information.
  • Flexibility and adaptability to juggle a range of different tasks and to work extra hours as needed.
  • Proficiency in Microsoft Office and adaptability to new technologies.
  • Ability to work from 15:00 to 23:00 (and open to overtime hours as required) from our office in Pristina, Kosovo, or other office locations as required.
  • Valid driver’s license and passport with the ability to travel extensively across Europe, Canada, and the US.
