Three Folders is in search of an Executive Assistant dedicated to supporting our CEO and senior leadership team. The ideal candidate is a proactive problem-solver with outstanding communication skills and a keen eye for detail. This role demands experience in handling administrative tasks and offering managerial support in a bustling office environment. Adaptability, discretion, and commitment to excellence are pivotal in navigating the fast-paced executive landscape at Three Folders.
Objectives of this Role:
- Provide comprehensive support to the CEO and, as needed, to other executive team members, facilitating the achievement of company objectives and efficient operations.
- Enhance and refine internal processes that underpin the activities of senior executives across the company, coordinating resources both internally and externally to streamline workflow.
- Handle communications with staff, bridging between internal and external executives on various projects and tasks.
- Plan and manage workloads to align with senior executives’ priorities, ensuring both organizational goals are met and best practices are maintained.
- Manage professional and personal scheduling for the CEO, including agendas, correspondence, phone calls, client management, and logistical arrangements.
- Oversee complex scheduling and calendar management, plus the flow of information to senior executives.
- Handle travel logistics for senior executives, including accommodations, transport, and meal arrangements.
- Provide comprehensive administrative and office support, including document preparation, dictation, spreadsheet management, faxing, and maintenance of filing systems and contact databases.
- Uphold the highest levels of professionalism and confidentiality with all materials and communications.
- Organize internal and external team communications, and coordinate events both on-site and off-site.
Required Skills and Qualifications:
- A minimum of two years of experience in an administrative role, reporting directly to upper management.
- Superb written and verbal communication skills.
- Strong time-management abilities with the skill to organise and manage multiple projects concurrently.
- Proficient with office productivity tools and quick to learn new software and systems.
- A flexible team player who is adaptable to change and welcomes challenges.
- Discretion in handling confidential company and employee information.
Preferred Skills and Qualifications:
- Prior experience managing budgets and expenses.
- Experience in creating and implementing internal processes and filing systems.
- High level of English Proficiency (US Accent is Optional but a Bonus)
