Marketing and Media Services for the 2nd German-Kosovar Economic Forum 2024
- Introduction
The 2nd German-Kosovar Economic Forum 2024, scheduled for October 2-3, 2024, in Prishtina, aims to bring together German and Kosovar political figures, economists, and industry experts to discuss technology, energy, and industrial adaptation.
- Purpose
This TOR is to engage a professional marketing company to provide comprehensive media coverage, design, assistance to social media management (SMM), video editing, reels creation, and additional printed promotional materials to ensure the successful promotion and execution of the forum.
- Scope of Work
The marketing company will be responsible for the following tasks:
3.1 Social Media Management (SMM)
- Develop and implement a social media strategy across relevant platforms (Facebook, LinkedIn, Instagram).
- Create a content calendar with posts, stories, and updates leading up to, during, and after the event.
- Monitor and engage with the audience to increase reach and interaction.
- Provide regular reports on social media performance and metrics.
3.2 Media Coverage
- Coordinate with media outlets for pre-event coverage, live coverage, and post-event analysis.
- Prepare and distribute press releases and media kits.
- Organize press conferences and media briefings.
- Manage media inquiries and facilitate interviews with key speakers and participants.
3.3 Video Editing and Reel Creation
- Produce promotional videos and reels for social media platforms.
- Edit recorded sessions, keynote speeches, and panel discussions into highlight reels.
- Ensure all video content aligns with the event’s branding and messaging.
- Ensure 4 Cameras (for 2 days) and one crane camera for the first day.
- Ensure 4 -6 photographers (for 2 days).
3.4 Design and Printing Services
- Create visually appealing graphics for social media posts, website banners, email campaigns, and printed materials.
- Design and print the event program, flyers, brochures, and other collateral.
- Ensure consistency in branding across all materials.
3.5 Promotional Materials
- Develop and produce promotional items such as banners, posters, and digital ads.
- Design and oversee the production of event merchandise (e.g., T-shirts, badges, lanyards, tote bags, etc).
- Deliverables
The marketing company will provide the following deliverables:
- A comprehensive social media strategy and content calendar.
- Press releases and media kits.
- Edited videos and highlight reels.
- Graphic designs for all promotional materials.
- Regular performance reports on social media engagement.
- Promotional items and event merchandise.
- Timeline (adjustable after the agreement)
- August 15, 2024: Submission of the initial social media strategy and content calendar.
- September 1, 2024: Delivery of initial promotional videos and graphic designs.
- September 15, 2024: Finalization of all promotional materials.
- September 30, 2024: Completion of event setup and readiness for live media coverage.
- October 5, 2024: Submission of post-event reports (incl. media monitoring reports) and final edited video reels.
- Qualifications
The marketing company should have:
- Proven experience in managing similar events.
- Strong portfolio demonstrating expertise in social media management, video editing, graphic design and printing, livestreaming and media relations.
- Excellent communication and project management skills.
- Ability to work under tight deadlines and deliver high-quality outputs.
