About Us:
We are a leading programmatic advertising company operating across EMEA and the US. Our technology stack is based on Google Cloud Suite (e.g., GCP) and a proprietary Demand-Side Platform (DSP), Bid Manager. As part of our continued expansion, we are seeking a Project Coordinator to join our Project Management Office (PMO) and support key strategic initiatives. This role will focus on overseeing and coordinating a team of 11 professionals in India while also coordinating other cross-department teams in the company for delivering strategic projects that drive business growth and operational efficiency.
Key Responsibilities:
Project Planning & Execution
- Support in developing and overseeing project plans, timelines, and deliverables using ClickUp.
- Assist in defining project scope, objectives, and success metrics in alignment with business goals.
- Help with resource allocation and task prioritization within the team.
- Track project milestones and escalate potential delays proactively.
- Contribute to an agile working environment with sprint planning, retrospectives, and reviews.
- Coordinate strategic projects required to support business growth and process improvements, ensuring alignment with business priorities.
Team Coordination & Support
- Assist in facilitating clear and open communication within the team of 11 professionals in India and across other teams in the company.
- Support collaboration and accountability within the team.
- Help organize and moderate daily stand-ups and team check-ins.
- Work closely with senior project managers and stakeholders to ensure smooth execution of tasks.
Stakeholder Communication
- Assist in acting as a communication bridge between the Indian team and other global teams.
- Help document and communicate project progress, blockers, and updates to leadership.
- Gather and organize requirements from cross-functional teams to maintain alignment.
- Ensure visibility of key initiatives within the PMO team and across departments.
Process Optimization & Automation
- Assist in optimizing workflows and project tracking using ClickUp and other productivity tools.
- Support process improvements by identifying inefficiencies in project execution.
- Help establish best practices for documentation, version control, and task delegation.
- Learn and assist with automation tools to streamline project tracking and reporting.
Risk Management & Problem Solving
- Support the identification of project risks early and assist in implementing mitigation strategies.
- Help troubleshoot issues and roadblocks that affect project timelines or quality.
- Ensure adherence to deadlines, quality standards, and company objectives under supervision.
Continuous Improvement & Reporting
- Assist in tracking key performance indicators (KPIs) for team efficiency and project success.
- Prepare reports on project progress, resource utilization, and delivery performance.
- Help implement feedback from past projects to improve efficiency and execution.
Requirements:
Technical & Project Management Skills
- Basic proficiency in ClickUp for project tracking and task management.
- Understanding of Agile, Scrum, and Kanban methodologies.
- Interest in software development projects, preferably in ad tech, machine learning, or cloud-based solutions.
- Basic knowledge of programmatic advertising and marketing technology is desirable.
Leadership & Communication Skills
- Some experience working with distributed teams, ideally teams based in India.
- Strong willingness to learn, adapt, and grow within the project management field.
- Excellent written and verbal communication skills in English (Italian is a plus).
- Ability to bridge communication gaps between technical teams and business stakeholders.
Soft Skills
- Strong problem-solving and decision-making abilities.
- Excellent organizational and time-management skills.
- Ability to manage multiple priorities with guidance from senior managers.
- Detail-oriented mindset with a proactive approach to project execution.
Preferred Qualifications:
- Bachelor’s degree in Project Management, Computer Science, Business, or a related field.
- Certifications in Agile, Scrum, or project management methodologies are a plus.
- Previous internship or junior experience in ad tech, martech, or SaaS industries is beneficial.
