The Role
Location: Pristina, Kosovo (hybrid)
Working hours: 9 AM – 6 PM CET

The Outbound Specialist is responsible for driving lead engagement, scheduling appointments, and ensuring a seamless handoff to the sales team. This role involves identifying and qualifying potential leads, managing outreach efforts across multiple communication channels, and maintaining accurate records in the CRM system. The specialist nurtures relationships with prospects through effective follow-ups and collaborates closely with the sales and marketing teams to align strategies. Additionally, they monitor performance metrics, leverage tools and technology, and conduct market research to identify opportunities. Strong communication, time management, and a proactive approach are critical to succeeding in this role.

 
Responsibilities:
  • Lead Engagement  
    • Identify and qualify potential leads based on the target audience.  
    • Reach out to leads via phone, email, social media, or other communication channels.  
    • Build rapport with prospects to understand their needs and determine fit.  
  • Appointment Scheduling  
    • Coordinate schedules between leads and the sales team.  
    • Use calendar management tools to book and confirm meetings.  
    • Ensure all appointments align with the sales team’s availability.  
  • CRM Management  
    • Update and maintain accurate records in the company’s CRM system.  
    • Track lead interactions and document progress in the sales pipeline.  
  • Follow-Ups  
    • Send reminders to leads before scheduled meetings.  
    • Follow up with no-shows to reschedule appointments.  
    • Conduct follow-ups with leads to nurture them until they’re ready for a sales meeting.  
  • Collaboration with Sales and Marketing  
    • Work closely with the sales team to understand their needs and priorities.  
    • Provide feedback from leads to the marketing team for campaign adjustments.  
    • Ensure alignment between the leads generated and the sales team’s goals.  
  • Performance Metrics  
    • Meet daily, weekly, and monthly appointment-setting targets.  
    • Track and report on appointment-setting success rates and conversion rates.  
    • Analyze patterns to improve outreach and scheduling efficiency.  
  • Communication Skills  
    • Represent the company professionally in all interactions.  
    • Tailor communication strategies to suit different types of leads.  
    • Handle objections and address lead concerns to secure appointments.  
  • Tools and Technology  
    • Use appointment-setting software, CRM systems, and communication tools effectively.  
    • Stay updated on new tools and techniques for efficient appointment setting.  
  • Time Management  
    • Prioritize leads and tasks to ensure timely follow-ups.  
    • Maintain a structured schedule to maximize productivity.  
  • Market Research  
    • Conduct research to identify new opportunities and potential leads.  
    • Stay informed about industry trends and competitor activities.

Qualifications:

  • Proven experience in sales, appointment setting, or similar roles.
  • Exceptional English communication skills, both verbal and written.
  • Familiarity with sales tools, CRM systems, and appointment-setting software.
  • Strong organizational and time management skills to prioritize tasks effectively.
  • Ability to build rapport with prospects and handle objections professionally.
  • Experience in collaborating with sales and marketing teams to align strategies.
  • Analytical mindset with the ability to track performance metrics and improve outreach efforts.
  • Knowledge of market research techniques and staying updated on industry trends.
  • Proactive and adaptable in a fast-paced environment.
