Join us as an Office Coordinator, where you will play a pivotal role in ensuring seamless administrative operations and supporting our mission of excellence.
This role is a full-time role – 40 hours a week, 8 hours a day, 5 days from Monday to Friday, from 9:00 to 17:00.
Responsibilities:
- Oversee daily administrative tasks and manage expenses, including maintenance, office supplies, rentals, communication equipment, pantry, and cafeteria services.
- Ensure proper maintenance of office furniture, fixtures, and equipment. Represent the administration team during audits.
- Maintain and manage communication systems.
- Implement service contracts with vendors, ensure compliance, and handle the timely renewal of vendor contracts, licenses, and certifications.
- Manage utility bills (electricity, phone) and ensure timely payments.
- Handle petty cash requirements by preparing vouchers and generating reports for small payments.
- Coordinate procurement, repair, and maintenance of office facilities with employees, housekeepers, and vendors.
- Maintain organized records of reports, contracts, invoices, payments, and other documents.
Requirements:
- Graduate degree or equivalent; Post-graduate degree preferred.
- 2–4 years of relevant experience in administration.
- Proficient in MS Office and basic computer applications.
- Fluency English.
- Strong organizational, multitasking, and communication skills.
- Detail-oriented with a focus on quality and compliance.
- Ability to work collaboratively with internal teams and external stakeholders.
