We are looking for an Executive Assistant to work remotely full-time! We need someone with excellent organizational skills, the ability to handle sensitive information with discretion, and exceptional attention to detail. You will be providing administrative support to the core management team, managing tasks such as coordinating calendars, organizing meetings, and handling communications. A professional demeanor and strong communication skills are essential for this role!
Reports to: CEO & Core Management Team
WHAT YOU WILL BE ACCOUNTABLE FOR
Administrative Support:
- Provide day-to-day administrative assistance, including calendar management, scheduling meetings, and organizing travel arrangements.
- Maintain accurate records of meeting minutes and distribute them to relevant stakeholders.
Communication Management:
- Handle email and phone communications on behalf of the management team.
- Respond to inquiries promptly and follow up on outstanding tasks.
Document Preparation:
- Prepare and edit documents, reports, presentations, and correspondence as needed.
Task Management:
- Track and manage tasks for the management team to ensure deadlines are met.
Professionalism and Confidentiality:
- Serve as a liaison between the management team and internal/external stakeholders, maintaining a high level of professionalism and discretion.
Ad Hoc Support:
- Assist with special projects, research, event planning, and any other duties as assigned.
ESSENTIAL EXPERIENCE, SKILLS, AND KNOWLEDGE
- Proven experience as an Executive Assistant for at least 2 years, preferably supporting senior management or executives.
- Ability to work in a fast-paced environment and handle competing priorities effectively.
- Strong organizational and multitasking skills with a keen attention to detail.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other relevant tools.
- Exceptional written and verbal communication skills, with a professional demeanor.
- Strong time management skills with the ability to prioritize tasks effectively.
- Ability to maintain confidentiality and handle sensitive information with integrity.
- Must be available to work Monday through Friday, 8 AM – 5 PM Pacific Standard Time (PST).
Preferred Qualifications:
- Experience in managing projects or tasks independently.
- Familiarity with tools like Asana, Trello, or other task management software.
- A Bachelor’s degree in Business Administration or a related field is a plus.
