Title: Executive Assistant

Duration: Full-time (On-site)

We are looking for a new executive assistant to support our executive team. You will manage mostly business related tasks for the team such as creating reports, organizing travel and accommodation, taking notes during meetings, and other organizational tasks.

Responsibilities of the position:

  • Create meeting agendas for various departments (e.g gather documents, display presentations)
  • Attend department meetings and take detailed notes and assign tasks accordingly
  • Manage schedule for assigned executive
  • Draft, review and send communications on behalf of assigned executive
  • Answer and respond to phone calls, communicate messages
  • Liaison to Department heads
  • Maintain various records and documents
  • Respond to all emails on behalf of assigned executive
  • Follow up with all assigned tasks
  • Respond to all emails on behalf of assigned executive
  • Coordinate travel arrangements and book reservations
  • Organize and plan company events/parties
  • Re-negotiate contracts and reoccurring bills

Requirements:

  • Proven excellence as an executive assistant or similar role, supporting C-level executives.
  • Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Strong written and verbal English communication skills, including professional etiquette and confidentiality.
  • Ability to type 80 wpm – Exam Required
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Ability to work independently, exercise sound judgment, and make decisions in a fast-paced environment.
  • Strong attention to detail and accuracy in all tasks.
  • Professional demeanor, positive attitude, and the ability to work effectively with all levels of employees and external partners.
  • Ability to work from 15:00 to 23:00 from our office in Pristina.

A bachelor’s degree in business administration, management, or a related field is preferred but not required.
